Guides for your Business Central

Microsoft's course and manual cover Business Central as it comes out of the box. The questions in your finance team are about your chart of accounts, your approval workflow and your item numbers. Record the screen while you do the task - and the AI writes the guide for exactly your setup.

The course covered the standard. The setup is yours

It's rarely anything difficult that gets asked about. It's the same handful of workflows that get shown from scratch every time someone new joins the department.

The manual describes a different system than yours

Microsoft Learn and the partner's course material show Business Central in the standard setup. Your dimensions, posting groups and approval workflow aren't in there.

The Word guide from go-live is out of date

Business Central is updated twice a year. The screenshots in the guide the partner handed over no longer match, and nobody has had time to redo them.

The super user answers the same question every month

Month-end close, the payment journal, the new item. The answer exists, but it lives in one person's head, and she's the one who gets asked.

The workflows people ask about

Not the whole system. The ten to twenty tasks a new hire in finance needs to be able to do, and that an experienced colleague does so rarely that the steps have to be looked up.

  • Post a purchase invoice

With your dimensions and your approval workflow, not the standard ones.

  • Create a new item

Item number, posting groups and units of measure, filled in the way you've decided they should be.

  • The payment journal

From suggestion to posted payment, with the checks your auditor wants to see.

  • Bank reconciliation

Importing the bank statement, reconciling, and what to do with what doesn't match.

  • Month-end close

The order, the reports and who does what when the period is closed.

  • Create a customer

Payment terms, customer posting group and the fields that must be filled in before anything can be sold.

From recording to guide in the finance team

Nothing has to be written from scratch. The task gets done anyway - the difference is that the screen is recorded meanwhile.

  1. 1

Record the screen while the task is done

An ordinary screen recording, with or without narration. If you have a Page Scripting recording from Business Central, it can be imported instead.

  2. 2

    The AI writes the draft

Steps with matching screenshots and text. The import runs in the background, and the draft is in the editor when it's ready.

  3. 3

The super user fixes the fields and publishes

If an account has a particular name at your company, it's written the way it's called. Nothing becomes visible to colleagues until a person has published it.

  4. 4

    Assign it to the department

To one employee or the whole finance team, with a deadline and progress per person. Then you can see who has completed.

Page Scripting recordings can be imported directly

Business Central can record a workflow itself as a Page Scripting file. It becomes readable steps in MyGuides - clicks that don't matter are filtered out.

The same file the partner tests with

If your partner uses Page Scripting for acceptance testing, the recordings already exist. They don't have to be redone to become guides.

Or an ordinary screen recording

Page Scripting isn't a requirement. A recording from Teams, Windows or Mac works just as well - even without audio.

When Microsoft updates

Record the workflow again and import it. The guide lives in one place, so that's the one that gets fixed - not three versions on a shared drive.

What it isn't

  • It isn't a course in standard Business Central

That exists at Microsoft and at your partner, and it's good. This is your own setup - the one no standard course can cover.

  • It doesn't replace your partner

A guide can show where to click. It can't set up the chart of accounts or judge whether the process is the right one. If you have a partner, they can make the guides together with you.

  • Nothing is installed in Business Central

MyGuides is a standalone platform with its own login. The recording happens on the screen, and Page Scripting is already part of Business Central.

  • It doesn't publish anything by itself

The draft is a draft until it's read through and published. There is no button that sends anything to your colleagues without you.

What Business Central users ask

Does it work with our customizations and apps?
Yes. The recording is of your screen, so what's in the guide is what you see - whatever extensions and customizations are in your Business Central.
Does everyone need a Business Central license to read the guides?
No. MyGuides is a standalone platform, and employees sign in with the Microsoft account they already have. A warehouse employee can read the guide without having access to Business Central.
What happens when Business Central updates?
The screenshots can go out of date, as in any guide. The difference is that it lives in one place: record the workflow again, import it, and publish the new one. The old one is gone for everyone at once.
We're coming from NAV. Can employees see how they did it before?
Yes, if the NAV guides were made while NAV was still running. Two guides can be paired as “then and now” and shown side by side: how you did it in NAV, how you do it in Business Central. It's described on the Dynamics NAV page.
We have a partner. How does that fit together?
Well. The partner can make the guides during the implementation and hand them over together with the system - or you can make them yourself afterwards. What it looks like from the partner's side is on the partner page.
Can we use it for anything other than Business Central?
Yes. You create the applications guides are made for yourself - the payroll system, the warehouse scanner, the Excel sheet for the budget. A screen recording is a screen recording. Business Central is just where the product was born.
What does it cost?
The price follows how many of you there are and how the instance is set up. The level is on the pricing page, so you know what you're getting into before we talk.

A demo takes 25 minutes, and you don't need to prepare anything. If you'd like to see it on your own work, you can send us a recording of a task in advance - and we'll use that.
