AI import
How the AI import works
You choose a source, click import and do something else meanwhile. When the draft is ready, it's in the editor - with steps, screenshots and text. Here's what happens along the way, and what you need to decide yourself.
Three things can become a guide
The source is chosen first in the import window, and the rest of the fields adapt to the choice.
Screen recording
Run through the task once while the screen is recorded. The AI finds the screenshots, splits the process into steps and writes what happens in each of them.
With or without narration - see “recordings without narration” below.
Word or PDF document
If you already have the guide as a document, it comes in as it is. The images in the document follow along to the steps they belong to.
Also used to move old guides into the library.
Page Scripting from Business Central
A .yml recording from Business Central becomes readable steps. Clicks that don't matter to the task are filtered out.
No video required - the recording is already a description of the clicks.
What happens while you do something else
The import runs in the background. You can close the screen - the status is shown on the guide while it works.

The file is imported
You choose the source, the application and the spoken language. If you want to help the AI along, you write briefly what the recording shows.

Transcription
If there is speech in the recording, it's written out first. If there isn't, this step is skipped.

The steps are generated
The process is split into steps. Each step gets the screenshot that belongs to it and a text describing the action.

The draft lands in the editor
As a draft. It isn't visible to your colleagues, and there is no deadline or assignment on it yet.
Help the AI along
If the file has a descriptive name - “Create customer and post invoice” - the AI uses it. Otherwise there's an optional field where you write what the recording shows. That's where your own terminology comes in: if a field has a particular name at your company, write it, and the step texts get it right the first time.
Several files at once
Up to 25 files in one go. Each file becomes its own draft, they're processed one at a time in the background, and you can safely leave the page meanwhile. Keep a video to six minutes at most if you can - longer is possible, but the result gets less precise.
Recordings without narration
You don't have to talk over a recording for it to be usable. If there's no audio, the steps are written from the screenshots alone. Narrated recordings typically give a more precise text, because the reason for a click can rarely be seen on the screen.
What the import doesn't do
It doesn't publish anything
The draft is a draft. It only becomes visible to your colleagues when you publish it yourself - there is no button that sends anything out without you.
It doesn't assign by itself
Recipients, deadline and access group are things you set after you've read through the draft.
It doesn't translate unasked
Translation is a separate choice afterwards - and it's only saved once you've seen original and translation side by side.
It doesn't take just anything
There is a cap on how long a recording can be. What the cap is for you depends on the setup - we go through it before you say yes.
Afterwards: the review
The draft opens in the editor. Here you fix what needs fixing and decide who it's for.
- The editor saves by itself and tells you if two people are in the same guide
- Access group and owner are set before it's published
- Translation to another language with review: original and translation side by side, a checkmark per field
- The guide remembers who imported it, from which file, when and how long the recording was
What people ask
- Does the AI get it right?
- It writes a draft. It opens in the editor and only becomes visible to your colleagues when you publish it. Nothing is ever published automatically.
- How long does an import take?
- Usually under a minute. A long recording can take a little longer. The import runs in the background, so you can do something else meanwhile.
- Where does the AI run?
- In your own instance, against the AI service the instance is set up with - currently Azure. Which region and which setup, we go through with you before you say yes.
- Can we import for anything other than Business Central?
- Yes. You create the applications you make guides for yourself. A screen recording is a screen recording - Business Central is just where the product was born.
- What if the draft is wrong?
- Then you fix it in the editor, just as you would fix a document. Steps can be rewritten, deleted and moved, and screenshots can be swapped.
